Cancellation Policy

Cancellation Policy – Vendogram AI Academy Inc.

 

Effective Date April 2025

  • At Vendogram AI Academy Inc., we are committed to providing high-quality AI training programs, after-school activities, and summer camps. We understand that plans may change, so we have established a clear and comprehensive policy to ensure guardians can make necessary changes to their registrations in a timely manner to avoid incurring additional fees.

 

1. Cancellation and Refund Eligibility

  • A full refund (minus any non-refundable fees) is available for cancellation requests submitted within 7 days of purchase.

  • For cancellations made between 8 and 14 days after purchase, a 50% refund will be provided.

  • No refunds will be granted for cancellations made beyond 14 days of purchase.

Non-Refundable Fees:

  • A $25 administration fee, applicable to all registrations, is non-refundable.

  • Payment Processing Fees of 3% are non-refundable.

Emergency-Based Cancellations

In cases of severe illness, medical emergencies, or death of an immediate family member, a cancellation request may be submitted for review. The request must be accompanied by official supporting documents (e.g., medical certificate, death certificate, or equivalent proof).

Upon approval, the refund will be issued as credit to the student’s account. This credit can be used for future programs or services at Vendogram AI Academy Inc. and will remain valid for 12 months from the date of issuance. Cash refunds will not be provided in these cases.

2. Program Cancellations by Vendogram AI Academy

Vendogram AI Academy reserves the right to cancel a program due to unforeseen circumstances. In such cases:

  • Affected participants will be promptly notified and given the opportunity to join another group, subject to availability.

  • Participants will receive a full refund, including administration and processing fees

 

3. How to request a cancellation

Written Notice is required. All cancellation requests must be submitted via the Contact Us Form on the Vendogram AI Website, and must include:

  • Student’s Full Name

  • Program Details (program name and start date)

  • Copy of the payment Receipt or Confirmation Number

 We will review cancellation requests and respond within 5-7 business days.

4. Processing Refunds

Approved refunds will be processed within 5 to 7 business days. Refunds will be sent to the original payment method used at registration, unless the cancellation falls under an emergency-based scenario. Please note that your bank or payment provider may require additional time to complete the posting of the refunded amount.

5. Student Attendance & Student Conduct

Students are expected to attend all scheduled sessions. Missed classes are non-refundable and non-transferable.

Disruptive or inappropriate behavior may result in dismissal from the program without a refund.

Students must handle all equipment responsibly. Damages to Academy resources due to misuse will result in the responsible party being charged for the repair or replacement costs.

Violations of any Vendogram AI Academy policy — including the AI Lab Policy, Code of Conduct, or CCTV and Safety Policies — may result in dismissal from the program without a refund. Refund eligibility is void in cases involving serious misconduct, repeated safety violations, or damage to Academy equipment.

 

6. AI Lab Booking & Cancellations
AI Lab resources must be booked in advance using the official resource booking system. Cancellations must be made at least 24 hours before the scheduled session to avoid penalties. No-shows may result in temporary booking restrictions.

 

7. Amendments to the Policy

Vendogram AI Academy Inc. reserves the right to modify this policy at any time.

Any changes will be posted on our website. Continued enrollment after such changes are posted constitutes acceptance of the revised terms.
