Terms and Conditions – Vendogram AI Academy Inc.

Effective Date: April 2025

Welcome to Vendogram AI Academy Inc. These Terms and Conditions govern your participation in our AI training programs, after-school activities, summer camps, and website services. By enrolling in our programs or using our services, you agree to comply with the terms outlined below.

1. Enrollment and Payment

Enrollment is confirmed upon receipt of full payment.
All fees are non-transferable and must be paid in advance to secure a spot.
Payment processing fees and administrative fees are non-refundable.
Failure to complete payment may result in cancellation of registration without notice.

2. Cancellation and Refund Policy

A full refund (minus any non-refundable fees) is available for cancellation requests submitted within 7 days of purchase.
For cancellations made between 8 and 14 days after purchase, a 50% refund will be provided.
No refunds will be granted for cancellations made beyond 14 days of purchase.

Non-Refundable Fees:

Administration Fee: A $25 administration fee, applicable to all registrations, is non-refundable.
Payment Processing Fees: Transaction fees of 3% are non-refundable.

Emergency-Based Cancellations

In cases of severe illness, medical emergencies, or death of an immediate family member, a cancellation request may be submitted for review. The request must be accompanied by official supporting documents (e.g., medical certificate, death certificate, or equivalent proof).

Upon approval, the refund will be issued as credit to the student’s account. This credit can be used for future programs or services at Vendogram AI Academy Inc. and will remain valid for 12 months from the date of issuance. Cash refunds will not be provided in these cases.

Program Cancellations by Vendogram AI Academy

Vendogram AI Academy reserves the right to cancel a program due to unforeseen circumstances. In such cases:

Affected participants will be promptly notified and given the opportunity to join another group, subject to availability.
Participants will receive a full refund, including administration and processing

3. Student Conduct and Dismissal

- Students are expected to behave respectfully towards instructors, staff, and peers.

- Disruptive or unsafe behavior may result in immediate removal from the program

without a refund.

Equipment & Materials: Students must handle all equipment responsibly. Damage to

Academy resources or property will result in the responsible party being charged for

the repair or replacement costs.

- Students using the AI Lab must comply with Vendogram AI Academy’s AI Lab &

Robotics Policy. This includes responsible handling of equipment, adherence to safety

protocols, and respecting booking procedures. Any damage caused due to misuse will

result in repair or replacement fees. Failure to comply may lead to restricted access to

AI Lab resources.

4. Liability Waiver

By enrolling in any Vendogram AI Academy Inc. program, the participant (or their parent/legal guardian) acknowledges and accepts the inherent risks associated with hands-on AI, robotics, and educational technology activities.

Vendogram AI Academy Inc. is not liable for any injuries
Participants are responsible for the care and proper use of all equipment and materials provided during sessions. In cases of damage, loss, or theft caused by misuse or negligence, repair or replacement costs will be charged to the party responsible.
Students are expected to follow all safety protocols, handling guidelines, and instructor directions when using lab tools, electronics, or connected devices.
The Academy reserves the right to restrict access to equipment or facilities if safety rules are not followed.
Participation in our programs constitutes understanding and agreement with these conditions and serves as a waiver of claims against Vendogram AI Academy Inc. for minor injuries or equipment-related incidents.

5. CCTV and Video Surveillance

All classrooms and common areas are monitored by CCTV for security purposes. CCTV footage is accessed by authorized personnel only and can be shared with law enforcement,

6. Student Media Consent and Release Policy

Parents must complete a waiver to either grant or rescind Vendogram permission to capture photos and vdeos of students. If the form is not submitted, it will be treated as granting consent.

All course content, materials, and digital resources are the intellectual property of Vendogram AI Academy Inc.
Students and parents may not copy, distribute, or use materials for commercial purposes.
Unauthorized sharing or reproduction of class materials is strictly prohibited and may result in legal consequences.

6. Privacy and Data Collection

Vendogram AI Academy Inc.,data retention policy shall adhere to the requirements set forth in Quebec's Bill 25, "An Act to modernize legislative provisions as regards the protection of personal information.”

7. Code of Conduct for Online Programs (if applicable)

- Students must use professional and respectful language in virtual sessions.

- Recording or sharing online lessons without permission is prohibited.

- Disruptive behavior may result in immediate removal from the school without a refund.

8. Amendments to the Policy

- Vendogram AI Academy Inc. reserves the right to modify these terms at any time.

- Any changes will be posted on our website. Continued enrollment after such changes are posted constitutes acceptance of the revised terms.
